Documenting a Day


Technology has quickly grown to be one of the most integral aspects of today’s world, not only in a business aspect, but also in our everyday lives. There are several different aspects of technology. Microsoft applications (apps), including Word, PowerPoint, Excel, Outlook, Teams, and many others, have all become significant productivity programs that are essential for optimized effectiveness and efficiency. According to TestOut Corp. (2024), “productivity software is a term that encompasses applications which can help you be more productive, both personally and professionally, with tools and features that streamline and automate tasks” (Section 6.2, para. 1). These apps are used and are beneficial for a number of things– compiling lists, writing things like papers, proposals, and resumes, creating and maintaining reports and calendars, and producing effective and engaging presentations, among other things. In the following paragraphs, I will compare the different Microsoft apps utilized for this week’s assignment, share advantages and disadvantages of each, provide an explanation for why I think Word is the most appropriate app to document someone’s day, and describe scenarios where the other apps would be most useful. 

Whether it is to make a process easier, consolidate tasks or other activities, enhance engagement or user experience, increase a brand’s image, or collect insights or beneficial data, all apps are ultimately designed to provide innovative solutions. The suite of productivity apps Microsoft offers helps to analyze, create, share, and manage information. Microsoft Word is a word processor that makes creating, modifying, and formatting easier and more efficient. It is excellent for creating resumes and cover letters, journals, letters, lists, and taking notes. Bawa et al. (2021) shared that Word processors allow you to store digital versions of information and print them, create educational documents such as written assignments, and take notes during collaborative group sessions, among other things (pp. 65-66). Similar to Microsoft Word, in that it helps to tell a story, Microsoft Excel can be a much more complex app.

Microsoft Excel is an excellent app for creating spreadsheets, importing and exporting information, and analyzing data. Individuals utilize this app to create budgets, lists, and inventories, sort, analyze, and manage data, and even create calendars, schedules, or timelines. With significant differences in its uses and capabilities compared to Microsoft Word, Excel is widely used in the business world and is essential for data management. It is also quite typically used in educational settings for defining formulas, making calculations, and creating and managing reports, as well as for dealing with huge data sets, like those common for scientific and statistical analysis (Bawa et al., p. 66). Like Word and Excel, one of Microsoft PowerPoint’s primary uses includes visual storytelling; it utilizes presentations to communicate information to the intended audience. 

Every app, whether created to solve a problem, increase productivity, or enhance the user’s experience, has its benefits and opportunities. One advantage of these apps is that they are all offered as desktop versions and cloud-based models. This can be highly beneficial, particularly for newer or smaller businesses that may not have the capital or space for expensive equipment, as mentioned in the scholarly journal Microsoft Office – Cloud in Business Environment:

The users pay for the exact quantity of the service they need instead of prepaid renting or reservation of resources for a longer time period. Users can pay for using the system for a few minutes or hours, decide how many resources they need, and let go of the resources as soon as they are done with them. (Skendzic & Kovacic, 2012, p. 1748)

In contrast, a disadvantage of these apps (when used in their cloud-based models) is that if any issues arise, such as infrastructure availability, it could result in significant financial loss at the owner’s (Microsoft’s) expense. This is due to the user not owning the product. Each app also has its own unique advantages and disadvantages. Word is excellent for writing. It works offline and offers an array of templates to start projects. However, it is not ideal for managing complex data, and layouts can be inconsistent when shared across different platforms or even versions of the same app. Excel can house a massive amount of data. One sheet alone contains more than 16,000 columns and over 1,000,000 rows made up of cells that can hold up to nearly 33,000 characters each (Microsoft, n.d.). Another advantage is its strong foundation for forecasting and budgeting, with its advanced filtering, sorting, and table features.

Though Excel’s expansive capabilities could be advantageous for many, this same characteristic can make some individuals feel overwhelmed. The ability to create things like pivot tables further enhances the app’s complexity. Additionally, it is not ideal for conventional storytelling like Word or even PowerPoint. Finally, PowerPoint is excellent for visual storytelling with its broad presentation tools and resources. Like the other two apps and the suite of other Microsoft apps, PowerPoint can easily communicate across all apps. Regarding PowerPoint’s disadvantages, it is not ideal for large data sets. In fact, too many images or too much text on a slide can be overwhelming, appear cluttered, and overshadow the presentation’s intentions.
